Define when you accept bookings

Availability determines the days and hours when your customers can book appointments. Aura will only offer time slots within the periods you’ve configured as available.

General availability

General availability is your business’s base schedule. It applies to all reservations in basic mode and serves as a reference in advanced mode.

To configure it, go to your agent’s Calendar and click the Schedule button. From there you can define the available time slots for each day of the week.

Availability windows

Each availability window defines a block of time during which you accept bookings. For each window you can configure:

  • Start day and time: When availability begins.
  • End day and time: When it ends.
  • Recurrence: Whether the schedule repeats and how often:
    • None: Only for that specific date.
    • Daily: Repeats every day.
    • Weekly: Repeats on the same day each week.
    • Monthly: Repeats on the same day each month.
    • Yearly: Repeats on the same date each year.

Make sure your agent’s timezone is correctly configured before setting up availability. All schedules are interpreted based on the agent’s timezone. If the timezone is wrong, your customers may see incorrect time slots.

Exceptions and holidays

If your business closes on holidays or has special hours on certain dates, you can create exceptions. Exceptions override the regular availability for a specific day or period.

For example, if you normally open Monday through Friday but close on May 1st, you can create an exception for that day without changing your regular schedule.

Availability in advanced mode

In advanced mode, in addition to general availability, you can set up specific schedules for:

Each resource (professional, room, equipment) can have its own schedule. For example, if you have two physiotherapists and one works mornings while the other works afternoons, you can configure different hours for each.

To do this, open the Schedule from the calendar, select the Resource option, and choose the resource you want to configure.

Each service can have its own availability. This is useful if certain services are only offered on specific days. For example, a group class that only takes place on Tuesdays and Thursdays.

To do this, open the Schedule from the calendar, select the Service option, and choose the service you want to configure.

In advanced mode, Aura combines general availability with resource and service availability. For a time slot to be available, it must match across all layers: the business must be open, the resource must be available, and the service must be offered at that time.

Booking interval

The interval defines how frequently available time slots are offered. For example, if your interval is 30 minutes and you open at 9:00 AM, the available slots will be 9:00, 9:30, 10:00, 10:30, and so on.

You can adjust the interval in your agent’s reservation settings to match the typical duration of your appointments.
