Confirmation and automation
Automate your reservation management
Aura offers several options to automate the reservation lifecycle. You can configure how appointments are confirmed, when they’re marked as completed, and what happens to reservations that nobody confirms.
All of these options are found in your agent’s reservation settings.
Confirmation policy
Define how reservations are confirmed when they’re created:
On creation (automatic)
The reservation is automatically confirmed the moment it’s created. The customer doesn’t need to do anything else. This is the simplest option and ideal if you don’t need the customer to explicitly confirm.
After requesting via message or template (explicit)
The reservation is created in Pending status and requires the customer to confirm their attendance through a message or by responding to a template. This option is useful if you want to reduce no-shows by making sure the customer truly intends to attend.
Auto-complete
You can configure Aura to automatically mark reservations as completed a set time after the appointment ends. For example, if an appointment ends at 11:00 AM and you set auto-complete to 1 hour, the reservation will move to Completed status at 12:00 PM.
This saves you from having to manually mark each reservation one by one at the end of the day.
Auto-cancel
If you’ve chosen the explicit confirmation policy, some customers may not confirm their appointment. To prevent those pending reservations from taking up space in your schedule, you can set up auto-cancellation.
Aura will cancel reservations that remain in Pending status a set time before the appointment. For example, if you configure auto-cancellation at 2 hours, any unconfirmed reservation will be canceled 2 hours before its start time.
Auto-cancellation works especially well combined with explicit confirmation. This way you ensure that only truly confirmed appointments occupy space in your schedule.
Reservation limits
You can set limits to control how many reservations are accepted:
When any of these limits is reached, Aura will stop offering that time slot as available.
Booking window
The booking window controls how far in advance appointments can be made or received:
These settings apply to both reservations created automatically by Aura and those you create manually from the dashboard.
Settings overview
All the options described on this page are located in one place: your agent’s reservation settings. From there you can adjust each parameter so the system adapts to your business needs.
