Create and manage reservations

Create a reservation manually

Although Aura creates reservations automatically when your customers get in touch by phone or message, you can also create reservations manually from the dashboard.

1

Go to the reservations section

In your agent’s side menu, open Reservations and click the Create Reservation button.

2

Step 1: Information

On the first screen, fill in the basic information:

  • Customer: Select the customer from the list or enter their information.
  • Service: If you’re in advanced mode, select the service the customer wants to book.

Once a reservation is created, the assigned customer cannot be changed.

3

Step 2: Details

Set the specific details of the reservation:

  • Date and time: Select the day and time for the appointment. Aura will show you the available time slots.
  • Duration: Specify how long the appointment will last (in advanced mode, this may be predefined by the service).
  • Resource: If you’re in advanced mode and the service requires resources, select the resource (professional, room, etc.).
  • Status: Select the initial status of the reservation (Pending or Confirmed).
  • Price: If the service has a configured price, it will be displayed here.
4

Step 3: Confirmation

Review the reservation summary before saving:

  • Verify the date, time, service, and resource.
  • Add Notes if you need to remember something specific about this reservation (for example, “Customer arriving 10 minutes late” or “Needs wheelchair access”).
  • Click create to save the reservation.

View reservation details

To view or modify an existing reservation, click on it in the reservations list or on the calendar. A side panel will open showing all the Reservation details:

  • Date and time of the appointment
  • Current Status
  • Service Duration
  • Booked Service
  • Assigned Resources
  • Custom fields (if any)
  • Additional Notes
  • Service Price
  • Creation and last update dates

Manage reservation status

Each reservation has a status that you can change as things progress:

ActionWhat it doesWhen to use it
ConfirmChanges the status to ConfirmedWhen you’ve verified the appointment will take place
CompleteChanges the status to CompletedWhen the customer has attended and the service has been performed
CancelChanges the status to CanceledWhen the appointment is not going to happen

You cannot delete a reservation that is in Confirmed status. If you need to remove it, you must cancel it first.

Filter reservations

In the reservations list, you can use filters to quickly find what you’re looking for:

  • Status: Filter by Pending, Confirmed, Completed, or Canceled.
  • Channel: Filter by the channel through which the reservation was created (Call, Message, Manual, etc.).
  • Date range: Show only reservations within a specific time period.
