How reservations work

Your automated schedule

Aura’s reservation system lets your customers book appointments or services through phone calls, WhatsApp messages, Instagram, or email. Aura checks your availability in real time and handles all the logistics without you having to step in.

You can also create reservations manually from the Aura dashboard whenever you need to.

How a reservation is created

There are two main ways to create a reservation:

Automatic (by the agent)

A customer contacts your business by phone or message. Aura understands they want an appointment, checks your availability, suggests the available options, and creates the reservation automatically.

Manual (by you)

From the Reservations section in your agent, click the create reservation button and enter the customer’s details, the service, date, and time.

The lifecycle of a reservation

Each reservation goes through different statuses from creation to completion:

  1. Pending: The reservation has been created but is not yet confirmed.
  2. Confirmed: The reservation has been confirmed (either automatically or after the customer confirms).
  3. Completed: The customer attended and the service was performed.
  4. Canceled: The reservation was canceled before it took place.

You can configure Aura to automatically confirm reservations when they’re created, or to wait for the customer to confirm through a message or template. This is set up in your agent’s reservation settings.

Two operating modes

Aura offers two modes for managing reservations, suited to different levels of complexity:

  • Basic mode: Ideal for simple businesses. Reservations have a fixed duration and are based on general availability, with no need to set up services or resources.

  • Advanced mode: For businesses that offer different services, have multiple professionals or rooms, and need greater control over duration, pricing, and availability.

You can switch between both modes at any time from your agent’s settings.

Where reservations are managed

Reservations are managed from two sections in your agent’s dashboard:

  • Reservations: A list of all reservations where you can filter by status, channel, and date range.
  • Calendar: A visual view of your schedule where you can see reservations organized by day, week, or month.
