Create an event-based automation

Automations that react to what happens

An event-based automation triggers automatically when something specific occurs in your business. For example, when a booking is confirmed, when a support ticket is resolved, or when a customer completes a visit.

Go to the automations section

In your agent’s side menu, open Automation Events and click Create Event.

Give the event a name

In the Event name field, type a descriptive name that helps you identify the automation. For example: “Appointment reminder” or “Booking confirmation”.

Select the Event-based type

For the trigger type, choose Event-based. This tells Aura that the automation should activate when something happens on the platform.

Choose the triggering event

In the Triggering event field, select which situation should activate the automation. For example:

  • Booking confirmed
  • Booking created
  • Booking canceled
  • Support ticket resolved

If you select All, the automation will trigger for any available event.

Set the send timing

Under Send timing, specify when you want the message to be sent relative to the event:

  • Immediate: The message is sent at the exact moment the event occurs.
  • Before: The message is sent some time before the event (ideal for reminders).
  • After: The message is sent some time after the event (ideal for follow-ups or thank-you messages).

If you choose “Before” or “After”, you’ll need to specify the Time amount and the Time unit (minutes, hours, or days).

Select the template

In the Template field, choose the message template you want to send when the automation triggers. Only templates you’ve already created will appear.

For WhatsApp channels, make sure the template is in Approved status. Templates that are in draft or rejected status cannot be sent.

Filter by services (optional)

If you only want the automation to trigger for bookings of certain services, use the Filter by services option. Select the desired services from the list.

If you leave this field empty, the automation will trigger for all services.

Choose the send channels (optional)

Under Allowed send channels, you can select which channels you want the message sent through (WhatsApp, Instagram, email, etc.).

If you leave it empty, Aura will try to send the message through all available channels that match the customer’s data.

Enable and save

Make sure the Event active toggle is enabled and click Create to save your automation.

Example: Reminder 24 hours before an appointment

To set up a reminder that is sent one day before each confirmed booking:

You can temporarily disable an automation without deleting it. Just uncheck the “Event active” option in the event settings.
